Privacy Policy

Last updated: May 31, 2026

SpeechAI is built privacy-first. We ask for as little as possible — really just an email — encrypt what you create, show no ads, and never use your content to train AI without your explicit opt-in. This policy explains what we collect, why, and the choices and rights you have.

Draft for review. This document reflects SpeechAI's product facts and registered business details. It is a working draft and should be reviewed by qualified Polish legal counsel (consumer law & GDPR) before publishing.

1Who we are

SpeechAI ("SpeechAI", "we", "us", or "our") provides an app and related services that convert text, documents, and images into audio, optionally translate that text, and let you store, sync, and share what you create. For the purpose of data-protection law, the data controller is Yevhen Krasnopolskyi, a sole proprietor (jednoosobowa działalność gospodarcza) registered in the Polish Central Registration and Information on Business (CEIDG), NIP 7123435207, REGON 521996016, operating as "SpeechAI", with a registered address at ul. Łomżyńska 9, 20-732 Lublin, Poland. If you have questions, contact us at support@speech-ai.app.

2Information we collect

We aim to collect the minimum we need to run the service.

Information you give us

  • Account email. When you join the waitlist or create an account, we collect your email address. Registration is email-only — we do not require a name, phone number, or social login.
  • Content you provide. The text, PDFs, documents, pasted text, photos of pages, and web links you submit for conversion, along with the audio we generate from them and any translations.
  • Messages. If you contact support, we keep your message and contact details to reply.

Information we collect automatically

  • Usage & diagnostics. Limited technical data such as app version, crash logs, and basic feature usage, used to keep the service working and improve it.
  • Device information. Device type, operating-system version, and similar technical identifiers needed to deliver and secure the service.

We do not sell your personal information, and we do not run advertising.

3How we use your information

  • To provide the core service — convert your text and documents into audio, translate where you ask, and store and sync your library across your devices.
  • To operate offline access, sharing links, and your personal library.
  • To create and secure your account and authenticate you.
  • To process subscriptions, trials, and billing (handled by the app stores or our payment provider).
  • To provide support and respond to your requests.
  • To maintain, troubleshoot, and improve the service, and to keep it secure and prevent abuse.
  • To send you essential service messages and, if you joined the waitlist, a one-time launch email.
  • To comply with legal obligations.

4Legal bases for processing (GDPR)

If you are in the European Economic Area, the United Kingdom, or another region with similar laws, we process your personal data on these bases:

  • Performance of a contract — to deliver the features you ask for, including conversion, translation, sync, and sharing.
  • Legitimate interests — to secure, maintain, and improve the service, in a way that does not override your rights.
  • Consent — for the waitlist launch email and for any optional use of your content to improve AI features (see Section 5). You can withdraw consent at any time.
  • Legal obligation — where we must process data to comply with the law.

5Your content & AI training

The content you upload and the audio you generate are yours. We process them to provide the service to you. We do not use your content to train AI models without your explicit opt-in. If we ever offer a program that uses content to improve our models, it will be clearly optional, off by default, and you can opt out at any time without losing access to your files.

To convert and translate your content we may use trusted third-party processors. Where we do, they act on our instructions under contract and are not permitted to use your content for their own purposes.

6When we share information

We share personal data only in these limited cases:

  • Service providers. Hosting, storage, text-to-speech and translation processing, crash reporting, and payment processing — bound by contract to protect your data and use it only to provide services to us.
  • App stores & payments. Apple App Store and Google Play handle purchases and subscriptions under their own terms and privacy policies.
  • Legal & safety. Where required by law, legal process, or to protect rights, safety, and the integrity of the service.
  • Business transfers. If we are involved in a merger, acquisition, or asset sale, your data may transfer as part of that transaction, subject to this policy.

We never sell your personal information.

7Shared audio links

Sharing is off by default and controlled per recording. When you turn sharing on for a recording, we create a link that lets anyone with it listen in a web browser — no app or account needed. The recording is only accessible while sharing is on; when you turn it off, the link stops working. Only share content you have the right to share.

8Data retention & your files

Your files are yours to keep. The recordings and library you create remain available to you — including offline and synced across your devices — for as long as your account exists, even if you cancel a subscription. You can delete individual recordings or your whole account at any time; when you delete content it is removed from our active systems, and from backups within a reasonable period. We keep limited records (for example, billing and security logs) only as long as needed for legal, accounting, and security purposes.

9Security

We protect your data with encryption in transit and at rest, access controls, and other technical and organizational measures appropriate to the risk. No method of transmission or storage is perfectly secure, but we work to protect your information and to respond quickly if an issue arises.

Data breaches. If a personal-data breach occurs that is likely to result in a risk to your rights and freedoms, we will notify the competent supervisory authority without undue delay and, where feasible, within 72 hours of becoming aware of it, and we will inform affected users where the law requires.

Given the scale of our operation, we are not required to appoint a Data Protection Officer (DPO) under Article 37 GDPR. You can reach the person responsible for data protection at support@speech-ai.app.

10International data transfers

We and our service providers may process data in countries other than your own, including outside the EEA/UK. Where we transfer personal data internationally, we use appropriate safeguards such as the European Commission's Standard Contractual Clauses or equivalent mechanisms.

11Your rights

Depending on where you live, you may have the right to:

  • Access the personal data we hold about you;
  • Correct inaccurate or incomplete data;
  • Delete your data ("right to be forgotten");
  • Receive a portable copy of your data;
  • Object to or restrict certain processing;
  • Withdraw consent at any time, where processing is based on consent.

To exercise any of these, email support@speech-ai.app. You also have the right to lodge a complaint with your local data-protection authority — in Poland, the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych, UODO).

12Children's privacy

SpeechAI is not directed to children under 13 (or the minimum age required in your country), and we do not knowingly collect their personal data. If you believe a child has provided us personal data, contact us and we will delete it.

13Cookies & analytics

Our marketing website may use a small number of strictly necessary cookies and privacy-respecting analytics to understand traffic. We do not use advertising or cross-site tracking cookies. Where required, we will ask for your consent before setting non-essential cookies.

14Changes to this policy

We may update this policy as the product and the law evolve. When we make material changes, we will update the "Last updated" date and, where appropriate, notify you. Continued use of the service after changes take effect means you accept the updated policy.
